PRIMARY PURPOSE:

The Executive Assistant will be primarily responsible for supporting the President–who resides in New York and frequently travels–and the Executive Vice President in the areas of strategic scheduling, administration, travel, and meeting preparation and logistics.  The Executive Assistant also interacts with the DA Board of Directors and other DA partners around meeting scheduling and logistics, new Board member orientations, recording and compiling minutes, and general administrative support.  The person in this role will also maintain responsibility for tracking and managing some office-wide projects, including large mailings, various projects connected to the DA’s semi-annual conference, and some supervision of office interns.  This position, in collaboration with other assistant positions on the DA staff team, will help support the DA accomplish its organizational goals and mission.

This position requires considerable judgment, discretion, confidentiality, and initiative.  The Executive Assistant must be highly professional, collaborative, and have the proven ability to multi-task and proactively problem-solve – anticipating problems before they arise and developing clear, actionable solutions.

DUTIES AND RESPONSIBILITIES:
  • Manage the President’s scheduling, ensuring appropriate briefing and preparatory documents are prepared by appropriate DA staff, and ensuring timely and professional responses to external and internal contacts.
  • Manage the following tasks for the President and Executive Vice President:
    • maintaining calendar, including scheduling and contact information
    • making all travel arrangements
    • ensuring appropriate meeting preparation materials are prepared by relevant staff
    • preparing expense reports.
  • Serve as the principal administrative contact and liaison for the President and Executive Vice President.
  • Act as “traffic control” interface with both internal and external constituents.
  • Send correspondence and other written material on behalf of the President and Executive Vice President.
  • Schedule Board of Directors’ meetings/calls and serve as the primary administrative point of contact for all Directors, taking minutes at meetings and finalizing and disseminating all Board-related materials.
  • Assist in planning special events, presentations, and conferences.
  • Provide support on special projects, as needed.

  • Ability to communicate effectively with senior executives, DA partners, and external allies.
  • Exceptional writing and editing skills.
  • Very strong and demonstrated computer skills, including extensive experience and expert proficiency with MS Office suite (especially Outlook, Word, Excel and PowerPoint). Familiarity with Salesforce or comparable database preferred.

  • Sense of humor, ability to have fun, interest in contributing to a collaborative, high performing team culture.
BACKGROUND DESIRED:
  • Undergraduate degree with a minimum of four years of scheduling, advance, and experience supporting a senior professional; background in non-profit or politically-oriented organizations helpful.
